Terms of Service & Catering Agreement

1.Service Scope & Geographic Area

Smokay BBQ provides wood-fired barbecue catering, live cooking, and buffet service within Greater London and the surrounding Home Counties (Surrey, Kent, Essex, Hertfordshire, Berkshire, and Buckinghamshire). Events outside this primary geographic region are subject to custom travel mileage fees and written confirmation.

2.Package Bookings & Deposit Terms

• 20% Booking Deposit: A non-refundable advance booking deposit of 20% of the total estimated invoice is required to reserve your event date on our calendar.
• Minimum Guest Counts: Standard catering packages require a minimum booking size of 10 to 15 guests unless otherwise agreed in writing.
• Final Balance: The remaining balance of 80% must be paid no later than 7 days prior to the event date via electronic bank transfer or card.

4.Cancellations & Refunds

• Cancellation > 14 Days Before Event: The 20% deposit is retained; any additional prepayments will be fully refunded.
• Cancellation 7 to 14 Days Before Event: 50% of the total quote becomes non-refundable to cover perishable food procurement.
• Cancellation < 7 Days Before Event: 100% of the quote is payable due to custom meat curing, marinades, and staff allocation.

5.Dietary Restrictions & Allergen Disclaimers

We take food safety and allergen management very seriously. We offer authentic Halal, Vegetarian, Vegan, and Gluten-Free menu options prepared under strict kitchen standards.

6.Venue Access & Site Requirements

For live outdoor fire-cooking and smoker setups, the client is responsible for ensuring:

• Clear, legal, flat access for equipment vehicles and smoker rigs.
• Adequate outdoor ventilation space compliant with venue fire safety rules.
• Unobstructed access to a potable water source if required for full service.
